Managing your award
An award letter is not money in the bank yet. Many government grants pay you back after you spend, and only when the paperwork is right. We handle the reimbursement requests, the purchasing records and the reports until the grant is closed out.
What we handle after an award.
- The grant agreement: what it requires of you, and by when.
- Purchasing: the quotes and records the program's rules ask for, before you buy.
- Reimbursement requests: invoices, proof of payment and the forms, sent the way the agency wants them.
- Reports: progress and final reports, on time.
- Letters to the agency when a vendor, a price or a timeline changes.
- Closeout: the last request and the final report, with a full record kept on file.
Why it matters.
- Money spent outside the approved scope, or without the records the program asks for, may not be reimbursed, and can be asked back.
- Deadlines don't stop at the award: reports and requests have their own dates.
Plan the cash flow. When a grant reimburses you, you pay the vendor first. We tell you up front how and when the money comes back.
Common questions.
How long does reimbursement take?
It depends on the agency and on how complete each request is. A complete request with the right proof of payment is the fastest way to get paid.
What records do we need to keep?
Usually the quotes or bids, the purchase orders and invoices, proof of payment, and anything the grant agreement lists. Programs often require you to keep them for years after the grant ends.
Received an award, or expecting one?
